1. Information We Collect

We collect information that you provide directly to us, including:

  • Profile Information: Business attributes and preferences used for AI personalization
  • Content: Media files, captions, and hashtags you upload or create
  • Social Media Information: OAuth tokens, page assets, and account details for connected third-party social media platforms. This data is collected strictly to facilitate connections to our distribution and partner portals.
  • Payment Information: Processed securely via our designated third-party Merchant of Record

1.1 AI Processing Disclosure

To provide our generative features, your business data and prompts are processed by designated upstream AI models and enterprise API connections. We enforce enterprise-grade service agreements which ensure that your submitted business data and generated output are notused to train the providers' public AI foundation models.

1.2 Interactive AI Assistant & Live Voice Data

When you interact with Poli, our AI Assistant, via text or live voice chat, conversation transcripts, IP addresses, and real-time voice stream data are processed to answer your inquiries, prevent rate-limit abuse, and deliver customer support.

Real-time audio streams and text messages are processed in partnership with third-party AI infrastructure providers (including Google AI). Data transmitted to these providers is governed by their respective API terms of service, privacy policies, and data protection standards.

1.3 Payment Processing

We partner with a designated third-party payment gateway who acts as our Merchant of Record. When you initiate a subscription checkout, relevant billing information is transferred securely to complete your transaction. The independent Privacy Policy of our designated Merchant of Record governs the collection, processing, and protection of your payment data. We do not process or store your complete credit card numbers or raw payment credentials on our internal application servers.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services

  • Respond to your comments and questions
  • To facilitate the automated distribution, scheduling, and management of media content across linked social media channels for users of our partner portal.

  • Inactive Subscription Content: We securely preserve your core business profiles, personalized settings, historical analytics, and customized generative intelligence models for 90 days following subscription cancellation or expiration to facilitate seamless onboarding restoration.
  • Onboarding Drafts: Unpublished or abandoned business creation wizards and profile configurations are automatically purged after 30 days of inactivity.
  • Infrastructure Audit Logs: Security access logs and diagnostic telemetry are retained on our internal application servers for up to 90 days for troubleshooting and abuse prevention.

Exercising Your Right to Data Deletion

You maintain absolute control over your digital footprint. You can initiate a complete account deletion request at any time directly through your primary account dashboard settings or by submitting a formal deletion request to our Data Protection Officer at [email protected].

Upon verifying your request, we will systematically scrub your raw authentication identifiers (including all third-party social media OAuth tokens and page connections), customized text templates, uploaded source media assets, and active business records from our active production databases within 30 days. Residual encrypted data snapshots archived within our immutable bare-metal backup infrastructure are automatically overwritten and destroyed in accordance with our strict 15-day storage bucket lifecycle policies.
